The design, printing, announcement and dissemination of thesis
Doctoral theses are to be presented either as a unified, coherent scientific treatise (monograph) or as a short summary (in the case of a composite thesis) of scientific papers that have been written by the student alone or with one or more co-authors. These may be written in either Swedish, Danish, Norwegian, English, French or German. Theses not written in English, French or German must contain a summary in one of those languages.

Since the publication of articles in internationally recognized scientific journals means that the quality has already been scrutinized, the Postgraduate Education Committee considers composite theses to be preferable to monographs.

Title page
A separate title page must be inserted in every copy of the obligatory printed edition of the thesis. The name and university affiliation of the external examiner should appear on the title page.

English language abstract
A brief abstract in English must be appended to the thesis. A document data sheet is used for this purpose, with room for 250 words to be filled in by the student. The Faculty of Medicine advises students to have this sheet printed on the reverse side of the title page that is inserted into each copy. This satisfies the requirement that a brief English abstract be appended to every thesis.

Copyright
In order to avoid legal complications, students should request permission for republication of articles from the copyright holder or publisher.

ISBN number
An ISBN (International Standard Book Number) will be send to you from the Faculty office.

Printing and distribution of doctoral theses
The Higher Education Ordinance, Chapter 8, Section 17, prescribes that doctoral theses be available at the institute of higher education in a sufficient number of copies to enable satisfactory scrutiny of the thesis to be made at the public examination. The Faculty Board decides on the least number of copies required for the examination and payment for their production.

In addition to the prescriptions of the Higher Education Ordinance, the Board of the Medical Faculty has adopted the following directives for the printing and distribution of doctoral theses.

The department concerned is responsible for the distribution of the printed and electronic editions of doctoral theses (from Jan. 1, 2001).

A doctoral thesis is to be submitted and distributed by the student or the department at least 3 weeks before the day of the examination as follows:

  • 20 copies are deposited at the University Library on Helgonabacken, for loans, cataloguing and distribution to the six libraries which must be supplied, and for long-term archive storage. An electronic version (PDF format) is also to be submitted to the University Library. The official in charge of such matters at the library receives these copies and gives the student a receipt.
  • 1 copy is to be deposited on the same day, together with the receipt from the University Library, at the Office of the Faculty of Medicine, which announces the examination in writing on the Faculty bulletin board and in electronic form (spikning or nailing, according to tradition). The address of the office is Sölvegatan 19, BMC F11 (a 5-minute walk north from the University Library). The announcement is made 3 weeks prior to the examination, giving the time and place of the examination, the name of the student and title of the thesis, thesubject, and the names of the external examiner and the chairperson.
  • 10 copies are to be sent by the student to the external examiner, the members and deputy members of the examination committee, principal supervisor and assistant supervisor.
  • 50 copies are to be made available for the needs of the department and for distribution, for example, to other departments and colleagues within the same field.
  • 50 copies may be kept by the student for personal use.

In addition, a sufficient number of copies should be made available at the examination to enable satisfactory scrutiny of the work.

Electronic announcement (spikning or nailing) is done by the student on the University Library's web site and then approved by office staff.

Expenses in connection with the examination

When the examination is publicly announced, the Office of the Faculty of Medicine transfers an appropriation of SEK 30,000 to the department/unit, to cover the remuneration of the external examiner and to defray the costs of printing the thesis.

The remuneration for the external examiner is SEK 7,000 + social welfare contributions. Costs are also covered for travel, personal expenses, per diem outlays (normally for 3 days) and 2 nights in a hotel.

The Faculty's grant for printing the thesis is that which remains of the SEK 30,000 after the external examiner's expenses have been deducted. If the printing cost exceeds this amount, the department must cover the difference from its own resources. It is therefore important to consult the head of department in good time regarding the design of the thesis, the cost of language revision and other expenses connected with producing the thesis.

Offers should always be obtained for printing the cheapest acceptable quality (offset printing). Offers should include the total number of pages, including references and table of contents. Offers must be obtained from at least two printers. The head of department decides whether further offers are necessary.

The departmental board/head of department decides which printer is to be used. As soon as the student receives invoices for printing, language revision, editing etc., these are to be given to the departmental secretary who ensures that they are paid.
